Position Summary:

The Specification/Installation Coordinator creates order ready project furnishings specifications for each project. This role prepares all the paperwork from the specifications required to take on an installation. The Specification/Installation Coordinator coordinates and manages on-site furnishings installations with third party installation vendors. This role prepares and tracks from conception to completion the punch list items to ensure all furnishings are installed correctly according to StudioSIX5 and the manufacturer's specifications.

Measures of Success:

  • Consistently provides accurate specifications and quotes with minimal changes by Project Design Manager and Vendor(s).
  • Consistently provides accurate installations: all pieces are inspected and reviewed with owner for each project and with minimal interior damage.
  • All punch list and warranty items are documented and reviewed with Project Design Manager and Design Coordinator for each project in time for each vendor's terms and conditions with no cost to StudioSIX5. Punch list items are tracked to completion.


  • Meets with team to receive all project specification materials and timelines.
  • Meets with installers on site to review installation and onsite strategy.
  • Writes specifications in TIM receiving final quotes from vendors along with all required forms.
  • Completes project specifications including; spec document, installation book, tag furniture plans, COM Forms, create FF&E project binder and obtain formal quotes.
  • Assists Designer with FF&E installation.
  • Coordinates with all vendors onsite to complete project installations.
  • Completes FF&E punch documentation for each installation project and tracks to completion.
  • Follows up with vendors to repair or replace FF&E punch items.

Required Knowledge/Skills/Abilities:

  • Ability to establish and maintain cooperative working relationships.
  • Ability to remain calm and solution oriented in stressful situations on site if problems arise.
  • Has the ability to answer placement questions by installers and owners.
  • Excellent communications skills and the ability to prepare correspondence independently.
  • Excellent organizational skills (oral and written).
  • Be flexible and receptive to change.
  • Ability to gather and analyze data and to work with figures.
  • Ability to work in a fast-paced interrupt-driven environment and multi-task.
  • Self-directed, highly motivated, and reliable. Excellent computer skills in Microsoft Office Suite (Word, Outlook, Excel, and Power Point), Adobe Acrobat, Bluebeam and QuickBooks.
  • Demonstrated efficient time management practices.

Experience / Education:

  • Minimum 2 years' experience in a similar role.
  • Project experience in Senior Living, Hospitality, Multi-Family, or Healthcare is preferred.
  • Minimum of an Associate degree and an additional two (2) years of relevant full-time experience.
  • Interior Design, Purchasing or Merchandising degree is a plus.
